What XLSX carries that CSV cannot
Everything except the raw values: sheets, column widths, cell types, dates that are really dates, formulas, number formats, colours. That is why it is the right format for a file a person will open and the wrong one for a file a program will parse. It is also a ZIP archive of XML underneath, which is why a corrupt XLSX can sometimes be recovered by tools that a corrupt legacy XLS cannot.
Dates, numbers and the traps in conversion
The two things that reliably go wrong when a spreadsheet becomes a CSV are dates and long numbers. A date is stored as a number and displayed by a format; export it and you may get 45231 instead of a date. Long identifiers, such as phone numbers or IDs with leading zeros, are turned into numbers and lose their zeros, or worse, into scientific notation. The conversions here preserve text as text, and it is worth checking those two columns first in any file that has them.
When to convert away from XLSX
When a machine is the next reader. Scripts, imports and APIs want CSV or JSON, and the conversion is lossless in the direction that matters: values survive, presentation does not. Convert to PDF instead when the file is finished and should not be edited. That keeps the layout and stops the numbers moving.
XLSX vs CSV: when the formulas matter
Convert to CSV when a program is next in line: an import, a script, a database loader. Everything those need, the values, survives; everything they would choke on, formatting and formulas, is dropped. Keep XLSX when a person is next, or when the formulas are the point: a CSV holds the number a cell last showed, not the calculation behind it, so a budget exported to CSV stops updating. Excel to CSV lets you choose whether formula cells export their results or the formula text, picks one date format for the whole file, and writes UTF-8 with the byte-order mark that Excel needs to read accents correctly. Split Excel separates a workbook into one file per sheet when an importer wants a single table.
Frequently asked questions
What is the difference between XLS and XLSX?
XLS is the binary format Excel used until 2007; XLSX is the current one, a ZIP of XML files that is smaller, more robust and readable by far more software. The converters here read both and write XLSX; keeping an old XLS has no advantage left.
Why do my dates turn into numbers in CSV?
Excel stores a date as a day count, 45231 for example, and shows it through a format that CSV cannot carry. Excel to CSV writes dates in one explicit format instead, so the receiving program gets 2023-11-01 rather than the raw number.
Can I convert XLSX to CSV without losing data?
The values, yes, including long identifiers and leading zeros, which the converters here keep as text. What cannot survive is the workbook itself: formulas become their results, formatting disappears, and each sheet becomes its own CSV file.
